We, at St Leonards and St Ives Home Watch, are committed to protecting your privacy. We will only use the information that we collect about you lawfully, in accordance with the UK Data Protection Act 1998 as amended by the General Data Protection Regulations (GDPR) 2017.
In accordance with the GDPR REGULATIONS, St Leonards and St Ives Home Watch recognises their members and coordinators rights to the following:
The only data that is stored is on a Membership Database held using Microsoft Access software, which is protected by an encrypted password held only by the Membership Secretary and Treasurer.
The data includes the Coordinator's name, member's name, address, status of the last two years subscription payments and amounts paid each year. It does not include any member's email addresses.
Additionally, there is a table of the Coordinator's details, which includes email address, telephone number and home address. This is used, in connection with the member's data, to maintain the membership database. Occasionally, these details may be passed to local police officers. They will only be used on rare occasions should the police need quick access to a local contact e.g. in the case a local public emergency.
Coordinators also maintain a paper list of members in their nominated area, which is used for delivery of the newsletter and for contacting their members by email. Some coordinators maintain an electronic contact list for passing on information about security or criminal activity in the Home Watch area notified to them by Dorset Police and/or the Dorset Alert system.
Membership records in either paper or electronic format are kept for up to two years.
